E Y currently has an opening for an Executive Coordinator (Team Leader)

The Executive Coordinator provides full administrative support to a management team of client serving executives, while supporting a team of Executive Assistants. The incumbent must be highly motivated, demonstrate a positive demeanor and initiative, and a proven desire for continuous growth.


Team Leader responsibilities

· Workflow management : Manage work flow requirements of assigned floors. Work with the Supervisor to ensure balanced workloads amongst team.

· Onboarding : Arrange new hire training, contribute to peer advisor program, follow up on progress and development areas and offer guidance for goal setting.

· Coaching and mentoring : The point of contact for EAs on your floor regarding practices, policies and procedures. Conduct floor meetings and provide effective teaming opportunities.

· Promote and embrace Firm initiatives : set a positive example by supporting Firm initiatives and values, and support new processes as administration evolves.

· Record keeping : Approve vacation, overtime requests and record illness for your respective team.

· Facilities and workplace management : As the point of contact, escalate facilityrelated issues to the appropriate resource. Assess and advise Supervisor on month-end/busy season and year end resource requirements, such as additional cleaning and HVAC.

E xecutive Assistant responsibilities

· D ocum ent preparation & management: Format and edit letters, memos, reports and presentations from draft stage to client-ready work. Use independent judgment to compose general, non-technical business documents. Is privy to, and must protect, confidential materials. Follow an organized filing/document management process for electronic and paper documents.

· Financial management support: Possesses in-depth knowledge of, and perform tasks supporting the client engagement management process including, understanding of independence regulations, using appropriate tools to open client and engagement codes and ensure compliance of time and expense tracking/reporting.

· B il l i n g s: Assist partners and their engagement team with client billings by liaising with the financial management group to process work in process (WIP) system reports, tracking expenses, drafting and finalizing invoices, time transfers and relieving WIP.

· Time and calendar management: Establish a systematic method for self and others to track time commitments and the completion of tasks based on clients' preferences. Independently manages multiple calendars by scheduling appointments, anticipating needs, changes and rearranging meetings as appropriate.

· M eeting coordination: Coordinate and make arrangements for on-site and off-site meetings and events including logistics (e.g., communication, location, meals, equipment, materials, RSVPs, and travel).

· Travel planning: Coordinate cost-effective and sometimes complex domestic and international travel arrangements and itineraries for individuals and groups.

· Client relationship management: Regularly meet with client serving executives to obtain a strong understanding of their needs. Develop and maintain relationships with internal and external clients to understand the business and client needs.

· Other duties as required.

To qualify, candidates must have

· Minimum 5 years related experience in a senior role/administrative environment preferred

· Post-secondary education (preferred)

· Proficient in Word, Excel, PowerPoint, with an aptitude to learn standard firm software and other relevant applications and technical/office equipment at an advanced level

· General understanding of financial principles as it relates to the billing of chargeable time

· Proven ability to differentiate when to take action independently or to partner as a team

· Ability to multi-task and meet multiple and/or unexpected deadlines in a demanding environment

· Demonstrate sound judgment regarding confidential and sensitive matters
