Job Summary

Job Summary:

The Staffing Specialist will join a team of professionals working in a fast paced, team environment as part of the Program Office supporting the acquisition process of contingent labor of a new major client in Operations. Successful candidates will be eager to learn, come into the position with a can-do attitude, and have great customer service skills.

Key Responsibilities:

  • Assist client managers during all stages of the contract labor acquisition process including: requisition creation in a web-base, state of the art workforce management tool, candidate review and short-listing, interview scheduling and follow-up.

  • Interview scheduling and coordination, as well as escorting of client candidates to interviews.

  • Manage primary customer support activities including quality review of hiring and timekeeping activities via a web-based application

  • Manage and oversee performance of participating staffing vendors

  • Log all client reported issues and track resolution through to completion ensuring a high level of customer satisfaction

  • Ownership of other Program Office activities including performance tracking, invoicing, PO tracking, and vendor compliance tracking

  • Maintain and update monthly activity and performance reports

  • Constant interaction via email and phone with client, staffing vendors, contract personnel and other partners

  • Entering new contractor profiles (contact information) and details of assignment into client systems where applicable

  • Assist client managers with extension of contract assignments

  • Liaison with managers, vendors and security department to ensure all necessary paperwork is completed and collected prior to starting assignment and at end of assignment

  • Ensure all work orders are closed in the system when notified of an end of assignment

  • Assist with the collection of company assets from vendors (laptop, badges, etc.)

  • Ensure security department is notified of end of assignments

  • Assist in collection of contractor hours and approval of time by hiring managers

  • Constant interaction with vendors to ensure new hire paperwork is completed in a timely manner so the contractor can start assignment on time.

  • Log all client and vendor inquiries into Salesforce.com

Required Skills:

  • Experience with Outlook calendaring

  • Experience in high volume coordination activities (interviewing, on-boarding, etc.)

  • At least 3 years of staffing industry experience

  • Excellent verbal and written communications

  • Ability to work in a dynamic environment that changes from day to day

  • Excellent analytical and problem solving skills required

  • Excellent documentation and follow up skills required

  • Strong organization skills and attention to detail

  • Knowledge of MS Office and PC skills

  • Able to work independently

  • Customer Focused

Education/Experience:

  • University degree or other higher education required
