POSITION OUTLINE:

Reporting to the Payroll Supervisor, the Payroll Assistant is responsible for the timely and accurate processing of assigned payroll tasks at the Mississauga Halton Community Care Access Centre (MH CCAC) including maintaining confidentiality in accordance with privacy legislation and organizational policies and procedures.

DUTIES AND RESPONSIBILITIES

Payroll Coordination

  • Ensures payroll is administered in accordance with accounting principles, policies and procedures, collective agreement(s) and Ministry guidelines

  • Assists with the verification of all data generated from the scheduling module and HRIS updates to ensure accuracy

  • Generates all payroll reports for the pay period including; vendor reports, journal summary

  • Prepares the statutory payroll remittances for the Canadian Revenue Agency (CRA)

  • Prepares remittances for Charitable Organizations, union dues, Canada Savings Bonds (CSB), garnishments etc.

  • Assists with the preparation and reconciliation of year end statutory reporting including CRA, WSIB and EHT

  • Prepares back-up documents for Records of Employment (ROE’s)

  • Assists in the reconciliation and distribution of T4, T4A’s and T2200’s

  • Responds to employee inquiries and initiates corrective action as necessary

  • Responds to inquiries from and corresponds with external agencies and/or stakeholders

Administrative Duties

  • Verifies travel and expense re-imbursement forms

  • Assists in the development and maintenance of relevant procedure manuals

  • Creates, maintains and updates payroll files for all employees

  • Adheres to all policies and follows established procedures

  • Participates in required meetings and provides input and recommendations

  • Participates on organization workgroups as required

  • Stays current with payroll regulations, standards and work methods

  • Liaises with Human Resources personnel on payroll related processes

QUALIFICATIONS

Education, Training & Experience

  • Certification as a Payroll Compliance Practitioner (PCP), from the Canadian Payroll Association or equivalent

  • Minimum two (2) years job related experience in a payroll environment

  • Previous experience administering payroll using an automated payroll system, preferably in a unionized environment

  • Knowledge of QHR payroll, scheduling and administration an asset

  • Demonstrated knowledge and understanding of related legislation including the Employment Standards Act, WSIB, EHT and HOOPP and group benefits

  • Good understanding of general accounting practices regarding journal entries, reconciliation and reporting

  • Good understanding of pension administration processes

  • Previous experience in generating reports from Human Resources Information System (HRIS) preferred

  • Proven ability in developing and generating spreadsheets using payroll and Human Resources information

  • Ability to communicate in French or another language an asset
