Our Fort McMurray office is seeking an Office Administrator to lead and assist in the various duties within the areas of reception, office administration, health and safety, project work, and assisting the office manager with day to day activities. This will be for a one year maternity leave coverage.

Your Duties:

  • Preparing internal and external memos, letters, correspondences, and reports.

  • Organizing and managing all aspects of filing and information retrieval related to business and client management needs.

  • Performing tasks related to the processing of incoming and outgoing documents.

  • Coordinating meetings, including employee training sessions and travel arrangements as required.

  • Collating and formatting of specifications and contracts, editing and proofing for completeness.

  • Setting up projects in our account system and preparation of billing reports.

  • Working with project managers and contractors on contract progress payments and change orders.

  • Providing timely response follow up and prioritizing tasks.

  • Manage calendars, sets appointments, schedule meetings, identify schedule conflicts and work collaboratively with others to resolve them.

  • Ensure compliancy and adherence to all Health, Safety and Environment policies and practices.

  • Assist with preparation, printing and delivery of project proposals as required.

  • Reception duties including; greeting internal and external clients, answer all incoming phone calls, distributing mail, office supply orders, ensuring boardrooms are clean and tidy.

Your Capabilities and Credentials:

  • Minimum of a high school diploma or equivalent.

  • 4 years of experience in administrative related roles; engineering or consulting office experience is preferred.

  • Has demonstrated the ability to evaluate needs and priorities and make effective decisions with minimal guidance.

  • Experience in high level administrative support to senior management and the ability to work well with all levels of staff.

  • Detail oriented, strong organizational skills with exceptional skills in prioritization.

  • Understanding of financial management and reporting.

  • Advanced skills in MS Word, Excel, PowerPoint, and Outlook.

  • A basic understanding of the OH&S Code and regulations, HSE Principles, and HSE regulatory requirements.

  • Must be able to successfully work both collaboratively and independently.

  • Can demonstrate strong interpersonal and written communication skills, including superior proofreading and keyboarding skills with high accuracy is required.
