Key responsibilities

  • Maintain promotional material master in SAP system (product codes, safety stock) and item database information in the Web ordering tool.

  • Handle the promotional material orders received by representatives via the Web ordering tool. Monitor queries that are exceptions to controlling rules and obtain justifications for approval.

  • Communicate with representatives, Marketing and distribution center any additions, changes, shortage with regards to promotional material availability.

  • Maintain expiry dates in SAP system to comply with the PAAB approval process with the distribution of promotional pieces. Ensure monthly follow-ups.

  • Coordinate the destruction of promotional items with responsibles and Product Managers.

  • Handle sample orders received for diabetes educational centers (DEC) via the Web ordering tool. Coordinates issues with representatives, Product Managers and distribution center for shipments. Monitor order threshold and approval as per Marketing directives.

  • Handle additional samples and promotional material requests/orders/returns received from other channels (e-mail, fax, telephone) and for servicing internal and external sales force, Product Managers, physicians and other customers.

  • Follow approval guidelines and process orders for sampling needs for specific brands.

  • Provide assistance to the Customer Service call center team on customer inquiries for promotional items and samples.

  • Participate in product launches with Product Managers and warehouse by coordinating promotional items, samples and cosmeceutical orders and shipments timeline.

  • Coordinate the logistics and distribution of promotional materials for conferences with third party.

  • Apply the internal compliance procedures on sampling with third party (distribution license, samples tracking …) and with representatives (samples receipt in MI, storage location, …).

  • Work on process improvement and efficacies.

  • Provide monthly reports to management pertaining to samples and promotional material shipments, inventories or specific demands.

  • Perform various administrative tasks.


Key requirements and competencies


  • College Diploma (DEC) or Bachelor in Business Administration or Marketing


  • 3-5 years' experience with a sales force environment or Customer Service, preferably in the pharmaceutical industry
