The Office Service Staff is an integral part of the Facilities & Hospitality Services Team and is a pivotal force in the management of Facilities, Records Management and Office Services-related activities. The responsibilities of this position include but are not limited to performing various duties within office services including hospitality and meeting services and supplies/equipment maintenance. This includes ensuring meeting rooms are clean and that adequate supplies exist. Other duties include receiving and placing deliveries of food and beverages in appropriate meeting rooms.

The position will encompass Records Management duties and is responsible for coordinating the handling and processing of client records. This includes managing the inventory, storage and maintenance of files and working papers within an EY location. Responsibilities include but are not limited to assisting firm employees and clients with record storage and retrieval (both on and off-site); ensuring that records are properly maintained within firm guidelines; and coordinating and monitoring established records management controls.

Responsibilities

  • Ensure compliance with the firm's records retention policy (e.g., data archiving, retrieval and destruction) and/or site-recommended product and service standards.
  • Ensures effective and responsive service delivery
  • Performs tasks related to facilities and hospitality, external courier services, binding, faxing, photocopying/scanning, ordering supplies and stationery, maintaining copier supplies, mail delivery and sorting etc.
  • Performs various reception duties such as; greeting and directing staff and clients, answering main phone line and virtual reception kiosk, redirecting calls, etc.
  • Understands daily work routines and procedures such as mail, supplies, etc. understands and operates local office equipment such as photocopiers and binding machine.
  • Maintains office and audio visual equipment inventory. Delivers equipment to users upon request and assists in troubleshooting
  • Stock stationery items, including copier supplies distribution around office
  • Complete various facility work requests in a timely and effective manner
  • Assist with internal moves and office purging
  • Operate and troubleshoot office equipment such as photocopiers, postage meter, binder, projectors, etc.
  • Coordinates meeting set up, including booking rooms, catering, cleaning up meeting rooms; photocopying/scanning, binding, etc.)
  • Liaise with building maintenance on various facility related requests
  • Assists the administrative support team with various administrative and office services related tasks as required


Qualifications:
To qualify, candidates must have:

  • High School diploma
  • Certification from administrative program an asset
  • 1 to 3 years prior experience required
  • Strong customer service skills
  • Ability to thrive in fast past environment
  • Demonstrate professional office etiquette
  • Must be able to lift up to 50lbs
