Executive Administrative Assistant
Purpose: To perform professional administrative services for the Managing Director, Canada, Australia & New Zealand in a manner that enhances the efficiency and effectiveness of the business. This role requires excellent discretion, judgment, integrity, diligence, tenacity, creativity, work ethic and a 'can do' attitude.
This position is responsible for: - managing and organizing the daily activities and calendar for the Managing Director; - performing professional administrative services including managing complex meeting arrangements, organizing travel, preparing meeting agendas, participating in and attending meetings, completing meeting documentation and minutes, organizing conference calls, preparing reports, preparing and managing expense reports, budget tracking and reporting; - liaising with all levels of management and employees across the organization and with customers, vendors and suppliers; - preparing complex and confidential communications, documents, presentations and reports; and - supporting or organizing events and performing ad hoc project work as required.
You will be a strong team player and will possess: - a post-secondary degree or diploma; - advanced administrative experience, or an equivalent combination of training and experience; - highly developed business communication and business writing skills and experience; - a demonstrated ability to work with teams and to collaborate effectively across global and organization boundaries; - strong customer focus; - strong computer and technical skills; - a proven ability to create high impact presentations and graphics; and - must be highly proficient in MS Office applications including: Outlook, Word, Excel and PowerPoint.
