The Junior Administrative Assistant is accountable for providing specialized and professional support to an executive and their senior managers within a large and diverse department or business group, and also provides general office and human resources support as needed. Monitors and ensures that administrative and operational processes and control standards are followed while seeking to determine, develop, and participate in implementation of improvement opportunities. Training will be provided.

  • Manage the Executive's calendar and schedule appointments. Organize meetings involving multiple senior executives and business partners.

  • Facilitate the creation and distribution of presentations, reports, etc.

  • Prepare routine correspondence, expense reports for signature.

  • Maintain files & filing system.

  • Review incoming correspondence and respond to routine mail.

  • Keep Executive informed of upcoming events and matters requiring immediate attention.

  • Handle confidential documents.

  • Communicate on regular basis with senior executives and business partners.

  • Develops and leverages relationships cross-LOBs with executives and senior managers.

  • Foster and support intra-group coordination while carrying out responsibilities.

  • Ensure highest productivity by coordinating internal & external communications and commitments.

  • Provide project management assistance on various initiatives when necessary.

  • Assist in some HR Administration functions such as vacation tracking, recognition programs and policy adherence.

  • Evaluate and revise priorities/schedules when unexpected situations arise, using initiative, independent judgment and tact.

  • Plan, coordinate, arrange and alter travel requirements.

  • Provide administrative support for the preparation of presentation materials, and other special projects as required.

  • Support the manager and/or project managers to ensure effective project management and controls by performing activities such as monthly reporting, invoice management, monitoring and administration.

  • Assist in the planning, preparation, and maintenance of project team schedules, documents work plan updates, maintains project issues logs and databases, estimates activity duration and risks, to meet BMO standards. Escalate early warning signs and deviations from the plan to the project manager.

  • Recommend changes to project planning, monitoring and control processes as necessary to facilitate project delivery.

  • Track and monitor action items, issues, and risks.

  • Perform various project administration tasks, including coordinating meetings, taking meeting minutes, forwarding communication releases, and performing maintenance of project tracking logs (i.e., issues, change control, etc.) in order to satisfy project management processes.

  • Escalate issues (i.e.-funding, resource capacity, availability) to the Senior Project Manager/Program Manager based on project priorities.

  • Identify and prepare requests required for changes to systems and/or processes.


  • College Diploma and/or other professional related training and development to keep skills current, including office productivity software.

  • Strong analytical skills.

  • Highly proficient PC skills, Window 95 (Word, PowerPoint, Excel).

  • A good knowledge of the Bank’s structure, processes and procedures is an asset

  • Strong organizational skills.

  • Strong interpersonal and communication (written/verbal) skills.

  • Preferably New grad with good interpersonal and presentation skills (training will be provided).

  • Willing to learn.
