Morrison Hershfield Administrative Assistant/ Proposal Coordinator in Ottawa, Ontario

Morrison Hershfield is currently searching for an Administrative Assistant/Proposal Coordinator in our Ottawa office to be a part of our Environmental and Infrastructure group.

The ideal candidate will be an outgoing self-starter who can analyze Requests for Proposals and identify the keys to a successful and winning proposal. They will also coordinate the overall presentation (including graphic design), content (technical content to be contributed by others) and business aspects of proposals for engineering and environmental disciplines. We are looking for an organized individual to be able to meet critical deadlines, engage others as required and produce quality winning proposals. This role requires someone who is flexible to meet the full range of administrative and proposal support requirements including document preparation, photocopying, filing and other administrative duties as needed.

Great interpersonal skills and excellent communication abilities are required. The ideal candidate should be extremely professional with a minimum of 5 years' experience.

  • Reviewing Requests for Proposals and identifying mandatory requirements;

  • Gathering information for proposals;

  • Coordinating proposals for input of technical content by others;

  • Proofing and assembly of proposals for submission;

  • Consolidating and coordinating sales materials for future proposals.

  • Preparation and editing of Word, Excel, PowerPoint and other documents;

  • assist in the preparation of public presentation materials including proposal covers, presentation boards, surveys, mail-outs, etc; and

  • Printing, binding, and filing, etc.

  • Post-secondary education in business administration, communications, or similar field.

  • Outstanding English language skills (including writing, proofreading and editing)

  • Expert-level MS Word capabilities

  • Proficiency in Excel, PowerPoint, Access

  • Proficiency in Photoshop, Corel Draw, Visio desirable

  • Creative thinker with experience in/talent for Graphic Design desirable

  • The ability to work well in a team environment with constantly shifting priorities, a strong sense of professionalism, tact and confidentiality

  • A detail-oriented work ethic

  • Ability to work independently, take initiative (be proactive), and multi-task to meet deadlines in a fast paced engineering environment.

  • Excellent time management and organizational skills

  • Confidence in interacting with all levels of management and internal and external clients.

  • Previous experience in a consulting engineering environment considered an asset.
