Our client located in the Etobicoke area is seeking the support of an Administrative Assistant/Receptionist for a long term assignment that can lead to full time. The selected candidate will be responsible for a variety of administrative tasks. Please review the requirements for a great opportunity. Reception - Answering incoming phone calls and directing to relevant staff member (averaging 40 calls/day) Keeping the switchboard up to date with new extensions, etc., Maintain comprehensive listing of staff on vacation, sick, out of the office, etc., both for reception purposes as well as for productivity reports; share this information with main reception on a weekly basis for their use when covering phones Ordering business cards for all employees Ordering stationary Productivity Producing and analyzing weekly Employee Charge Reports for management Producing weekly productivity report for management summarizing employee daily productivity reports Shipping Processing all outgoing shipments using online software either through FedEx or Disher Arrange for pick-ups at customers locations, when requested Create BOLs for each shipment using ShipIt. Accept and distribute courier packages and postal mail to staff Track packages as needed Purchasing Enter all purchase requisitions to be processed for purchase orders Advise requestors of their purchase orders Mark purchase orders as received once the product or service has been received so that the vendors invoices can be paid Monitor and maintain stocks of office supplies, studio supplies, and sanitary supplies and re-order/purchase replacement supplies as needed. Make stock photography and font purchases as needed complete monthly expense reports for incidental purchases Complete monthly purchase order report Newsletter On a monthly basis, consult with staff regarding content and deadlines for the newsletter Follow-up with contributors to make sure that articles, pictures, and other items are received on a timely basis Create the newsletter in Adobe In Design 6 using provided text and images, stock photography, etc. Assist management in maintaining professional organization memberships Maintaining a listing of birthdays and staff preferences; circulating birthday cards in a timely manner; organizing cards and collections for staff milestones (marriage, baby, death in the family); maintaining an appropriate supply of cards. Liaise between staff members and maintenance to make sure that lights bulbs are replaced, equipment is working properly, and exterior appearance is maintained throughout the year.
