Job Summary:

  • Responsible for providing support to the specific Global Director and teams.

Job Responsibilities:

  • Manage the Global Director schedules, day-to-day administration, meeting organization, presentation preparations, and teleconferences, mail-handling and responding to inquiries on his/her behalf.

  • Manage Global SharePoint Project sites as their Owner, create Global Project Metrics and maintain them as per the schedule.

  • Train Global affiliates on the site/web page futures and support access process.

  • Communicate with all Global sites in regard to the Project follow-up activities.

  • Assist the Global Director and team with the ensuring adherence to and success of Strategic Plan and other projects or Global Initiatives.

  • Enter and manage training documentation data for the Global Department associates.

  • Assist the Global Director and team with the ensuring compliance to requirements from regulators, globally.

  • Initiate and accurately complete internal forms on behalf of the Global Director – i.e. Request for Hire, Space Allocation, Employee Changes, etc. and ensures appropriate approvals and subsequent processing.

  • Ensure the departmental ApoWeb site is maintained.

  • Facilitate routine and periodic team meetings, to ensure appropriate Agendas are prepared and followed, and actionable items are documented and tracked until completion.

  • Prepare Project meeting minutes and post them on the appropriate web site.

  • Provide support to the Global Director and team, including word processing of various documents and correspondence, making travel arrangements for the department, preparing itineraries, filing, drafting letters on his/her behalf, etc.

  • Co-ordinate and tracks the overall Global Department Budget process in SAP. This includes completing cheque requests; obtaining approvals; processing invoices for payment; reconciling the budget on a monthly basis; follow-up with Accounts Payable on behalf of vendors on outstanding invoices; processes expense reports, etc.

  • Interact with Executive and Senior Leadership across the Quality organization and other applicable departments within Apotex to discuss and complete key tasks within defined regulatory deadlines and track project management.

  • Performs all work in support of our Corporate Values of Pride, Accountability, Integrity and Diligence; Demonstrates strong and visible support of our values.

  • Works as a member of a team to achieve all outcomes.

  • Performs all work in accordance with all established regulatory and compliance and safety requirements.

  • All other duties as assigned.

Job Requirements:

  • Post-secondary education in Business or Science, Administrative or equivalent work-related experience preferred.

  • Demonstrated ability, through previous 3-5 years' work experience, to support a multi-function team in a constantly changing, fast-paced environment.

  • Previous experience in the Pharmaceutical industry preferred.

  • Experience with document management systems for retention and archival.

  • Understanding of scientific / medical / regulatory terminology preferred.

  • Excellent word processing skills.

  • Knowledge of various computer packages, including Microsoft Office.

  • Proven organizational, problem solving, customer service and time management skills demonstrated by previous work experience, in order to manage multiple priorities in a fast-paced environment.

  • SAP experience an asset.

  • Excellent ability to communicate, both verbally and in written form, in English. Second language is an asset.

  • Demonstrated organizational skills and strong attention to detail.

  • Excellent customer service skills, with demonstrated ability to deal professionally with individuals at all levels within the organization, as well as with external contacts.

  • Demonstrated ability to exercise discretion, maturity, good judgment and maintain strict confidentiality when exposed to, and handling, sensitive and confidential information.
