Supplier Communication Coordinator

Purpose of the Job:

Provide highly specialized and technical support to the e-Business team through the monitoring of systems and reports. Identify supplier and system error and problems and implement corrective action to ensure timely resolution. Maintain on going communication with suppliers, Sears Canada buying teams, distribution facilities, Logistics and I.T. support.

Provide technical and specialized systems support for the Sears Secured supplier website.

( for authorized users. Maintain secured access to the supplier website through the set up and maintenance of user profiles and passwords. Respond to system and user issues/problems impacting Sears’s suppliers and internet applications.

Major Responsibilities:

  • Monitor AS2/EDI application reports identifying and investigating all errors and rejections and establish and implement an action plan for resolution. Monitor trading partner’s activity and ensure ongoing AS2/EDI transactions have been received.

  • Monitor, investigate, and respond to Suppliers’ website user inquiries via phone and/or email, and resolve within required timelines. Identify root cause and determine appropriate solutions. Advise external users and Sears associates of known systems problems and appropriate resolution.

  • Analyze and process Supplier setup form requests. (E.g. Supplier Information Worksheet).

  • Coordinate the registration of suppliers and users secured access to website, including application links and password maintenance via the Supplier Profile Administration (SPA) and Headquarters Merchandising Information System (HMIS) systems. Ensure corporate policies (e.g. legal, IT security and audit) are adhered to. Coach external business partners and Sears Associates on appropriate usage of supplier internet applications and website guides and manuals.

  • Maintain database of Sears Canada trading partners via Supplier Tracking Application (STA) containing key information for analysis and follow up including corrective action taken, logging user and supplier issues. Identify EDI non-compliance issues and generate supplier penalties via Supplier Compliance Information Processing (SCIP) system as required. Reinforce Sears Canada Standards and requirements with trading partners as necessary.

  • Communicate and correspond with trading partners and Sears Canada Internal business partners e.g. buying teams, distribution facilities, logistics, imports etc on EDI / Quick Response (QR)/ website issues and problems for resolution.

  • Work in compliance with all laws and regulations and attend or complete all required health and safety training, report all accidents and take every precaution reasonable to ensure personal safety and the safety of others. Perform other duties as required. (E.g. provide statistical information and reports measuring suppliers and Supplier Communication team performance. Suppliers usage, issues, analysis and EDI implementation statistics).


  • Demonstrated PC skills e.g. MS Office, Adobe Acrobat

  • Demonstrated knowledge of Sears Canada related systems

  • Demonstrated verbal and written communication skills

  • Demonstrated organizational and analytical skills

  • Demonstrated knowledge of Sears Canada standards and process’s related to Merchandising and Logistics practices

  • Self-directed and ability to work as part of a team
