Robert Half Office Team Executive Assistant in Vaughn, Ontario

As an EA and personal assistant (PA) you will work closely with Chairmen to provide administrative support, on a one-to-one basis. You will help him to make the best use of their time by dealing with secretarial and administrative tasks. PAs need extensive knowledge of the organisation in which they work. You will need to know who key personnel are (both external and internal) and understand the organisation's aims and objectives. The role of a personal assistant can be varied, such as answering phone calls, taking notes, scheduling meetings, emailing, texts etc. This role includes 70-80% travel. Summary of Job:

  • Maintaining Chairman's agenda and assist in planning appointments, meetings, conferences etc

  • Translate necessary documents and emails; interpret for Chairman during business meeting and conference calls

  • Attend executive meetings and keep minutes, update Chairman on corporate matters

  • Receive and screen emails and redirect them when appropriate.

  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

  • Make necessary travel arrangements

  • Handle confidential documents ensuring they remain secure

  • Prepare presentations and provide assistance in Chairman's key speech and negotiations

  • Maintain electronic and paper records ensuring information is organized and easily accessible
