University of Waterloo Communications and Media Relations Specialist in Canada

As a key member of the Marketing and Communications Team, the Communications and Media Relations Specialist will create, develop, enhance and monitor the organization’s overall communication strategy. In conjunction with the Director of Marketing and Communications, this position will drive the strategic development and tactical implementation of a robust, consistent, trusted and engaging communications strategy. This includes identifying, developing, implementing and measuring unique, engaging and collaborative communication plans, channels, and tools to cater to our different audience needs. Responsibilities also include day-to-day management of Feds’ social media platforms including Facebook, Twitter, YouTube, Instagram, and LinkedIn.

The Communications and Media Relations Specialist trains and manages 6-10 part-time staff members who work in areas including video production, online writing, and photography. The Communications and Media Relations Specialist manages a budget that covers staff salaries, online promotions, purchasing of equipment, and more.

Strategic planning and budgeting

  • Create a termly communications plan that covers the strategy for social media, Feds.ca, video production and media relations.

  • Manage a budget that covers social media promotions, part-time staff salaries, memberships, and equipment.

  • Report on results from all efforts to measure effectiveness of all programs and spending

  • Conduct market research regularly to gauge student interactions with our online efforts and identify future online opportunities for outreach and communication with our target audiences to ensure Feds’ is seen as an early adopting, web-savvy corporation

  • Work in coordination with the Marketing Managers to determine online presence for their related areas

  • In conjunction with the Director of Marketing and Communications, create and implement an annual Feds brand recognition campaign

  • Create training documents for staff and students to use that outline the proper procedures and practices on social media and media relations.

  • Develop key messaging for use in all online and media communications

Social Media

  • Create and implement a social media plan each term that includes goals for increasing followers and engagement on various sites, content ideas, and tools for measurement.

  • Post content on a daily basis to the Facebook, Twitter, and Instagram accounts that aligns with the Feds and associated brand messaging

  • Monitor online activity on relevant external sites to ensure we are aware of any conversations that include Feds and our efforts and manage discussion when required

  • Manage part-time staff that assist with social media such as the photographer and service coordinators.

  • Create and enhance training documents for staff and students.

  • Create a termly plan to use video in creative ways to engage and inform our target audience of upcoming initiatives and promotions

Collaboration and outreach

  • Work with Feds staff to compile updates to be used in the creation of a monthly staff newsletter

  • Must be able to establish strong professional working relationships with all Federation of students staff, service coordinators, and other on and off-campus partners to maximize effectiveness of communication efforts and identify PR opportunities

  • Work with the Marketing Managers to ensure integration of their overall marketing and promotional plans with digital media strategies

  • Coordinate with the Web Design Specialist to support the implementation of the annual website plan and collaborate on plans for content

  • Hire, train, and manage 6-10 part-time staff and manage their termly projects for Feds.ca, social media, and video production.

  • Hold meetings with part-time staff members to ensure projects are completed, personal issues are discussed, and any conflicts are resolved.

  • Implement an effective recruitment plan for part time staff, manage their payroll information and ensure appropriate levels of staff are available to respond to the Federation’s requests

  • Create an opportunity for leadership and development whenever possible within the part time staff

  • Collaborate with other marketing professionals on and off campus to ensure best practice development, which includes attending regular Communications Council meetings

Media Relations

  • Create and implement a media relations plan each term that includes the number of stories to pitch to external media outlets, strategy on how to manage the Feds brand with the media, and training for the executive and staff.

  • Manage media requests from internal and external outlets in a timely manner.

  • Create, develop, and execute training sessions for staff and students on how to work with the media.

  • Develop relationships with media outlets to help grow our Media Contacts List

  • Write press releases, and pitch stories to media outlets.

  • Completion of a Bachelor’s degree in Marketing, Communications, Public Relations or English or related post-secondary degree with equivalent experience.

  • Minimum of 3 years of experience within a communications role

  • Minimum of 1 years’ experience conceptualizing, planning, implementing and tracking successful social media strategies

  • Minimum of 1 years’ experience supervising, evaluating and developing part time employees

  • Written and verbal communication skills; excellent editing skills

  • Knowledge of Canadian Press Style

  • Experience working with the media

  • Strategic planning and project management skills

  • Strong organizational skills with the ability to multi-task and meet strict deadlines

  • Experience within a student environment is an asset

  • Building strong relationships with internal and external parties to create new partnerships and foster future business opportunities

  • Familiar with Adobe Design Suite and Internet applications; strong working knowledge of key social media platforms; working knowledge of video equipment and editing software; advanced skills with Word, intermediate experience with Excel and PowerPoint
